Presenter Instructions

Please review presenter instructions for your presentation type below. Please carefully refer to these instructions as you prepare for your upcoming presentation.

Papers

IMPORTANT -- PLEASE NOTE NEW POSTER DIMENSIONS AND ORIENTATION FOR THIS MEETING. For this special INS meeting, we will be using standing poster boards (instead of our traditional table-top boards), so poster dimensions will be different than in previous INS meetings. The poster boards will be VERTICAL or PORTRAIT orientation (instead of landscape as in previous years).

MAXIMUM POSTER SIZE: Your finished, printed poster should measure no more than 34.25 inches in width by 46 inches in height (or no more than 87 cm width by approximately 116 cm height). This will leave some space on all sides of your poster, which will make it easier to mount and will help ease crowding (as two authors will be sharing each poster board).

POSTER SESSIONS: All poster sessions are 75 minutes and will take place in Acadia Hall. The presenter or designated representative must be present at the poster session and are expected to remain with your poster to entertain questions for the duration of the session. Poster authors are encouraged to bring copies of their abstract or a handout for interested viewers, or to upload a digital handout or poster to the INS Meeting App, which will be released in mid-January prior to the meeting (we will email authors once the app is available).

ON-SITE INSTRUCTIONS: Please report to the poster hall no earlier than 10 minutes prior to the scheduled start of your session to mount your poster. A volunteer will be available near the entrance to the poster hall to distribute approved fasteners (**the only fastening devices that will be permitted are those provided by INS**). Upon your arrival, please refer to the final program or the mobile app to confirm your FINAL poster board number, and then kindly mount your poster on the board labeled with that number (boards are numbered from 1 to 100). Please note that your Poster Board Number may change prior to the meeting, so please confirm this on-site as directed.

All paper presenters must report to the Speaker Ready Room to upload their presentation by no later than one hour prior to their scheduled session.

SPEAKER READY ROOM: All paper presenters must report to the Speaker Ready Room by no later than one hour prior to their scheduled session (or the day before if possible) to upload their presentation to a central computer. Presenters are not permitted to use their own computers or devices. A technician will be available during posted room hours to assist in uploading your presentation.

PAPER SESSIONS: Each paper session is 90 minutes in length and consists of six (6) individual presentations. Each session will have a moderator, selected from the Program Committee, who will introduce the speakers, help solve any problems, and keep the session running on time through strict adherence to the time limits stated below.

Each paper presenter will have exactly 12 minutes to present their paper (including time for their introduction by the session moderator). Then, immediately following each presentation, the moderator will guide a 3-minute question and answer period. Please carefully plan your presentation in order to stay within your allotted time, as each session is under a strict time limitation.

PRESENTATION FILES: Please bring your presentation file with you on a CD or USB memory device for easy export. If your presentation is in a format other than PowerPoint, or if it requires special programming, please inform the INS office as soon as possible at ins@utah.edu. If you have video or audio clips embedded in your presentation, please bring a copy of those files along with your PowerPoint.

OTHER INFO: Within each lecture hall, presenters will have access to a laptop, mouse, laser pointer, and microphone. Please note that no handouts will be distributed.

Poster Symposia

Symposia (Regular & Invited)

Please follow the instructions above for Poster Presenters.

All poster symposia will occur in the Acadia Room on Level Three. Poster symposia occur during regular poster sessions, but are grouped together to allow authors to provide a cohesive presentation on a selected topic.

All oral presenters must report to the Speaker Ready Room to upload their presentation by no later than one hour prior to their scheduled session.

SYMPOSIA SESSIONS: All symposia sessions are 90 minutes in length. Each symposium chair is responsible for dividing the available time amongst the individual abstracts, their discussant (if applicable), and also to allow time for audience discussion as well as transitions between speakers. **Please ensure that your session strictly adheres to its alotted time limit so that subsequent sessions may begin on time.**
